CONVERTING LARGE DATASETS ON WIP AND DEBTORS.
Managing such a large volume of data would introduce unnecessary complications,
Through our experience, we have learned that importing large datasets from another system can consume an inordinate amount of time and affect the functionality of the entire integrated system. This complexity is further compounded by the risk of introducing bad records, which adds to the difficulty of the process. Therefore to streamline conversion process, we only import opening balances instead of full historical data on WIP and debtors.
 
With big datasets we constantly find errors and have to re-import, multiple times, tying down our cloud systems. By building the data from the balances in the system one never has these kind of problems.
 
Our approach focuses on pulling in WIP and Debtors balances, while aging these balances rather than importing thousands of historical records. To overcome the ability to access the history quickly. We therefore maintain a secondary organization that runs alongside the main system. This allows users to access historical data with a single click whenever needed, without disrupting current operations. Over time, as the need for the secondary system fades, it can be phased out. Meanwhile, Debtors are managed on a balance-forward basis, and daily receipt processing ensures a smooth transition. Most important of all, all the systems functions run well.
This method optimizes efficiency, gradually reducing reliance on older systems while maintaining access to essential data.
 
For WIP and Debtors, the process involves:
·     Aging WIP and Debtors balances rather than importing full transactional histories.
·     Operating the Debtors on a balance-forward basis, with daily processing of receipts.
·     Utilizing the second organization for any opening balance requirements by simply switching between systems as needed.
 
This approach is efficient, allowing for a smoother transition while gradually reducing reliance on the old system.
